Grassrooty
Club management for grassroots and non-league

Run the whole club, not just the first team.

Player expenses, squad depth, fixtures, sponsors, bookings, the bar till, tasks, meetings and paperwork in one place, built by a committee for committees.

Running at Arlesey Town FC since the 2026/27 season.

One place instead of ten

Every club has a filing cabinet. Most have a spreadsheet for everything else.

Committees change every season and the knowledge walks out with them. Grassrooty keeps the club's money, contracts, bookings and decisions in one shared place, with each volunteer seeing the parts their role needs.

Everything a committee runs

Each part can be switched on or off, and every role (treasurer, groundsman, manager, bar staff) sees only what it needs.

Player expenses

Weekly or per-match pay against a budget, with roll over, bonuses, BACS or cash, kit deposits, and fines taken from pay. Mark each payment paid, in query or on hold.

Treasurer favourite

Squad and squad depth

Every player and member of the backroom staff on one team page. Mark the positions each player prefers, can play, or would cover if needed, and see the whole pitch coloured by how well each position is covered.

New

Fixtures and results

Linked to FA Full-Time, so fixtures, kick-off changes and results copy in on their own. Every game lands on the calendar, home and away.

Sponsorship

Packages priced by contract length, kit and stadium branding, multi-year deals, renewals, and a checklist of what each sponsor has had this season.

Calendar and bookings

Pitches, the bar, the function room and the car park on one calendar, with who's working each shift. Groundsharing clubs show up too, with clash warnings.

Tasks

A committee board with comments, tagging, attachments and picture previews. Choose which roles see which kinds of task, and see reports on how long tasks take to start and finish, and who has what.

Meetings and AGM

Build the agenda, take the minutes in the same place, and turn action points into tasks. AGM packs, elections and votes included.

Expense claims

Volunteers claim with a photo of the receipt; the right person approves and the treasurer marks it paid.

Membership

Members, fees and renewals, with reminder emails when they fall due.

Compliance

Insurance, safeguarding, licences and policies in one place, with alerts before anything expires.

Bar, kiosk and turnstile till

The club's own till on a tablet, laptop or phone: member prices from a scanned membership card, cash, card, split payments and members' tabs, with each till's sales kept apart.

New

Cashing up and staff hours

Count the drawer note by note at the end of the night and see what's banked and any discrepancy. Staff sign in and out with their card or a PIN, so you can see takings against hours worked.

Membership cards

Every member gets a card with a QR code that only your club's till accepts: on their phone, downloaded, or printed ten to a sheet. Run your own "buy eight, get one free" offers on it.

Your overview

A home page for each person: claims waiting for them, their tasks, renewals due and their week ahead. Arrange the tiles to suit the job you do.

Roles and permissions

Treasurer, groundsman, manager, bar staff: each role sees only the parts it needs, from view-only to full access. Your club's crest and colours throughout.

Built at a real club

We've moved from different bits of software, cloud folders, dozens of spreadsheets and even filing cabinets into one place online that does all of that and more. It's been a game changer for our whole club, not just the committee.

Football first. Not football only.

Grassrooty starts with football because that's where it was built: FA Full-Time, matchday sponsors, player expenses. The way it runs a club (money, people, places, meetings) suits cricket, rugby, netball and hockey clubs just as well, and that's where Grassrooty is heading.

Questions committees ask

Does it work with FA Full-Time?

Yes. Link each team once with its Full-Time code snippet and fixtures, kick-off changes and results copy in automatically. Grassrooty reminds you when a new season needs a new snippet.

Who can see what?

You decide, role by role. A groundsman might see the calendar and tasks; a manager sees fixtures and their squad's expenses; the treasurer sees the money. Single tasks can be shared more widely or kept private.

Can our volunteers use it on their phones?

Yes. Grassrooty runs in any phone or computer browser, so there's nothing to install.

We share our ground with another club. Can it handle that?

Yes. Add them as a groundshare club: their home games book your pitch and rooms, look different on the calendar, and Grassrooty warns you when you're both at home on the same day.

How do we move our spreadsheets across?

We'll help. Arlesey Town FC brought a season of player expenses and sponsorship across from their spreadsheets, and we can do the same for your club.
